01-07-2013SCHERTZ PUBLEC LIBRARY ADVISORY BOARD.MEI=TING January 7, 2013 Members Present: Juan Thorn, Laura Wilson, Carol Cyr, Neota Srady, Sandy Keiser, Mary McAllister, Margaret Riley, Pattie Lovelady, Bobbie Boyce, Shonale Burke, Patti Dilworth, Gai1_Douglas, and Melissa Uhlhorn. ~ ~~ Visitors: Brian James CALL TO ORDER: Juan Thorn called the meeting to order at 7;02 p.m:., REGtlLAR AGENDA: 1. Minutes - Conside_ ration and/or action regarding fhe approval of fire minutes of pecember 3, 2012. Corrections ware proposed to the minutes. Sandy Keiser moved.#o• accept the December minutes as corrected..Carol Cyr seconded. December 3, 2012 minutes approved. 2. Treasurer's Report -Consideration and/or action regarding the apprpva! of the November 2092 Treasurer's Report. Cash account anding balance November 30, 2012 was $27,860.65: , Investment account anding balance November 30, 2012 was~$30,771.58. Laura Wilson also reported total bookstore sales for calendar year 2012 were $22,520.24. Recycling receipts for calendar year 2Q12 were over $900. Shonale Burke moved to accept the Treasures Report. Mary McAllister seconded. November 2012 t'reasurer's Repor# was approved. 3. Librarian's Report -Librarians will report on the following items: • December 2012 --Library Usage Statistics: Overall circulation: 25,458 Patrons:15,384 New Cards: 250 Renewals: 352 Self--Check Usage: 8,816 # People attending Programs: 649 Volunteer Nours: 329.50 Computer usage: 3,096 ~ _ • December statistics were dawn because the Library was closed more than 30 hours. Also there ware no programs in the latter half of December. • Interviews far the children's programming_clerk position were conducked. There were several good candidates. There is a circulation clerk opening. • Notified by State Library that service popralation has increased to 80,137, • Consignment of books is going well. Compared to other library's efforts we seem to be doing as well with less effort. 4. Bookstore Committee Report: Committee will report on the fallowing items: • Ruth's husband is recovering from major surgery. We all extend our best wishes. We wi11 fry to schedule a book sale for March depending on availability of fhe room. • Counterfeit $5 bill was turned over to Schertz Police Department. DISCUSSION & POSSBLE ACTION: 5. Landscaping - No response has been received from Native Plant Society. The City Main#enance has been doing some work on the landscaping and it looks better. ' 6. Library Board Applica#ions & Appointments -Board members whose terms were to expire on' 30Nov12 had their terms extended to 31Jart13. Board member`s should receive notice from the Gouncil prior to end of January if reappointed. The new process will move appointments~to the May timeframe because City elections are now to be held in November. We wi11 extend the current officers in their positions until further notice from the Council. Board by-laws will also be amended to coincide with the new Council process when i#'s finalized. 7. Newspaper Scanning Project -City Historical Committee has obtair<ed almost all back issues of local newspaper "The Valley Newsu and "The Valley News and Randolph Area Reporter." Melissa Uhlhorn explained that because of the fragile state of the newspapers she's checked with an Austin company to convert the paper to pdf to protect them. The cost quote was for ~0 cents per page and then the City IT Department can work with the pdf i:lles to hopefully get them into a searchable format that we can post an the t.ibrary Web site. She said with indexing and delivery #ees the cost would be approxima#ely $1,260.00 to convert the frst 5 yrs worth of newspapers. Sandy Keiser made a motion that the Board authorize up to $1300 to scan the first 5 years {1958- 1963). Mary McAllister seconded the motion. Motion carried. S. Sculpture Garden -Gail Douglas contacted Hal Baldwin's daughter to obtain input on a possible sculpture. We reviewed pictures of possible sculptures but tabled the issue until next meeting.
