05-17 LAB MinutesSCHERTZ PUBLIC LIBRARY ADVISORY BOARD MEETING May 1, 2017 Members Present: Patti Dilworth, Juan Thorn, Ruth Tienor, Laura Wilson, Carol Cyr, Patti Paulson, Margaret Riley, Neota Brady, Sandy Keiser, Joanne Ward, Dawn Figueras, Bobbie Boyce and Cindy Vigil. Visitors: April Toman, children's librarian and Lizzi Bertoia, library staff HEARING OF RESIDENTS: None CALL TO ORDER: Patti Dilworth called the meeting to order at 6:30 p.m. REGULAR AGENDA: 1. Minutes: Consideration and /or action regarding the approval of the minutes of the April 3, 2017 meeting. Ruth Tienor moved to accept the April 2017 Minutes with minor corrections. Patti Paulson seconded the motion. Motion carried. The April 3, 2017 Minutes were approved with minor corrections. 2. Treasurer's Reports: Consideration and /or action regarding the approval of March 2017 Treasurer's Report. The March Treasurer's Report reflected income of $2,429.83 and expenses of $1,510.32 leaving a balance of $17,280.22 in the cash account. Patti Paulson moved to accept the March 2017 Treasurer's Report as presented. Neota Brady seconded the motion. The motion carried. The March 2017 Treasurer's report was approved. 3. This fundraising event will be discussed further at the June 5, 2017 LAB meeting. - The Board was presented with a thank you card for the food provided to the library staff during the April 2017 Library Appreciation Week. - The April 2017 writer's event with children's author, Chris Barton was a huge success with approximately 100 people in attendance at the Schertz library event, as well as many students in attendance at all 9 SCUCISD elementary schools (over a 3- day span). A thank you card from Chris Barton was shared with the Board. - Melissa Uhlhorn discussed 2 recent library displays: Poetry Month (with poetry contributions made by library patrons) and a Chris Barton display. - "The Big Give" charity date is set for May 4, 2017. - A new portable white board has been purchased for use in the study rooms. - Texas Library Convention: All 4 librarians and 4 library staff attended events over a 4 -day period in April 2017 earning approximately 50 continuing education hours. April Toman was on a panel and presented "Teen Volunteers: Reading Buddies ". Our library Story Walk walking trail was also inquired about during the TLA Convention. - Melissa Uhlhorn stated that April Toman emailed SCUCISD and requested that a Schertz Libary card be added to the student supply list to encourage all students to utilize the library resources. - An "Escape Room" (game) might be included in the upcoming Tee Off event, and could possibly be set up monthly thereafter. - Eliminating overdue fines and fees is being considered as the revenue from these fees is small and the focus should be on recovering the lost materials. - Public Works installed a "No Parking" sign in library parking lot as requested by Schertz Police to help encourage students to park elsewhere. 4. Bookstore Report: Committee reported on the following items; General Operations: - Donations continue to come in. - The next Book Sale has been scheduled for August 4 and 5, 2017, with set -up being on August 3. - The higher than usual bookstore income total is due to the inclusion of some February 2017 income. - Melissa Uhlhorn mentioned that she has found another consignment option for the bookstore to utilize. They offer a 50/50 arrangement. S. Committees of Committees Advisory Board(CCAB) Update: Melissa Uhlhorn The Board received a recap of Schertz Boards and Commissions. Highlights included code enforcement. DISCUSSION & POSSIBLE ACTION: 6. Pre Budget Discussion: Melissa Uhlhorn - Budget Report DRAFT print -out provided to Board (Final will be Sept 2017) - Adopted 2016 -2017 Budget $868,161 / Projected YE $901,320 / FY18 $909,487 - Budget emphasis will be on e- readers (15 -20) , Spanish materials and replacement of materials. - Addidtional considerations include sound tiles /panels for noise reduction, life -size games and a new library app. - Juan Thorn asked for further explanation regarding e- readers and overdue fees, fines and theft. - A collection agency will work on outstanding accounts ($25 +) for an $8.95 fee per account. Prep work is being done on accounts from 2011 to present. - No vote is required on Budget DRAFT. ANNOUNCEMENTS: 7. Items by the Library Board Members: Briefing and discussion on the following items: - Correspondence received by the Secretary: None received. -Other announcements by Library Board Members: The following Board members received requests for renewal of their membership - Patti Dilworth, Patti Paulson, Juan Thorn, Laura Wilson, Margaret Riley and Ruth Tienor. Juan Thorn discussed his upcoming schedule and the possibility of missing several LAB meetings, as well as his request to step down from his role as Vice Chair (which will be further discussed at the August 2017 LAB meeting). -Call for items to be included on the next agenda: Tee Off for the Library Event (June 24, 2017) and Board sign -up sheet for the August 4 -5, 2017 Book Sale event. For the August 2017 Agenda, the Board will discuss Juan Thorn's Vice Chair position. ADJOURNMENT: Ruth Tienor moved to adjourn the meeting. Carol Cyr seconded the motion. The motion carried.
