05-06-2013SCHERTZ PUBLIC LIBRARY ADVISORY BOARD MEETING May 6, 2013 Members Present: Sonia Samora, Mary McAllister, Joanne Ward, Carol Cyr, Bobbie Boyce, Ruth Teinor, Laura Wilson, Margaret Riley, Sandy Keiser, Gail Douglas, and Patti Dilworth Visitor: Brian James CALL TO ORDER: Sonia Samora called the meeting to order at 7:02 p.m.. REGULAR AGENDA: Minutes — Consideration and /or action regarding the approval of the minutes forApril 1, 2013 meeting. Mary McAllister moved to accept the April minutes as presented. Ruth Tienor seconded. The April 1, 2013 minutes were approved. Treasurer's Report — Consideration and /or action regarding the approval of the March 2013 and April 2013 Treasurer's Report. The March bookstore sales were 1994.76, which included the last day of February. The April bookstore sales were 1535.85. Ruth Tienor moved to accept the treasurer's report as p resented. Sandy Keiser seconded. The reports were approved as reported. A safe was purchased for the bookstore. It will be kept at the circulation desk and a protocol will be established. Librarian's Report — Librarians will report the following items: March total circulation 33,310, Total Library visits 21,156, programs attendance 918, registered borrow 29,114, New cards issued 433, cards renewed 732, self- check 923, public internet access 3,490 times, E- readers 833, volunteer hours 454, and number of volunteers 46. March 2013 service population is 80,137. This area includes Schertz, Selma, Cibolo, and a portion of the rural area. The Library currently has 86,864 items in circulation. City Volunteer Fair was held on April 25th. Gail Douglas and Melissa Uhlhorn attended. Several people expressed interest in volunteering. They are looking for volunteers for lobby control. The parking lot area and skate boarders are beginning to be hazardous. Each area will be addressed individually. Gail Douglas will speak with Schertz Tales about a possible article about the bookstore. To have a positive story published to increase donations and sales. Bookstore Committee Report- Committee will report on the following items: April had a one day sales of 175.00. July 26th & July 27th will be the next book sale. Setup at 4:00 on July 25th. Mary McAllister handed out guidelines for the book sale. It was discussed that a group of volunteers will take over the sale. They can be on the board or from the bookstore. To be discussed in greater detail at the next meeting. Printer issues- The bookstore is still having printer problems. Melissa Uhlhorn had a printer for them to use, a follow up is needed. Mary McAllister will check on a possible date for the October book sale. DISCUSSION & POSSIBLE ACTON: Follow -up Discussion on Volunteer Luncheon- Report on the April Volunteer Luncheon honoring the library's volunteers. All that were able to attend felt the luncheon was a huge success. The Mayor & Mrs. Carpenter were in attendance. Ruth Tienor suggested that next year we look to hold it at a location that has no stairs. Kawloons was suggested for next year's party. ANNOUNCEMENTS: Correspondence received- none Announcements by Library Board members- none Call for items to be included on next agenda - June Meeting - Volunteers to take over the book sale for July and October - Summer reading program - Allocated funds that the library used broken down by quarterly. August meeting - Discussion of fiscal year verses calendar year with an additional 5,000.00 for incidentals to be finalized by October. ADJOURNMENT: Ruth Tienor moved to adjourn and Margaret Riley seconded. Motion was carried. Meeting was adjourned at 8:00 p.m.. Next meeting is June 3, 2013 at 7:00 p.m..
