03-03-14SCHERTZ PUBLIC LIBRARY ADVISORY BOARD MEETING March 3, 2014 Members Present: Sonia Samora, Brian James, Mary McAllister, Howson Lau, Melissa Uhlhorn, Margaret Riley, Carol Cyr, Ruth Tienor, Janice Manzo, Patti Dilworth Visitors: None HEARING OF RESIDENTS: None CALL TO ORDER: Sonia Samora called the meeting to order at 7:01 p.m. REGULAR AGENDA: 1. Minutes: Consideration and /or action regarding the approval of the minutes for February 3, 2014 meeting. Ruth Tienor moved to accept the February minutes. Mary McAllister seconded the motion. Motion carried. The February 3, 2014 minutes were approved. 2. Treasurer's Report: Consideration and /or action regarding the approval of the Treasurer's Report. The Treasurer's report for January 2014 was tabled until the April 7, 2014 meeting. 3. Librarian's Report: Librarian will report on the following items: The October Statistics: Total Library circulation 31,702, Total Patrons 28,024, Library Program Attendance 944, Total Collection Titles 80,158, New Library Cards issued 309, Library Cards Renewed 486, Self- checkout 9,742, Electronic Resources 88,071, Volunteer hours 322.00, ILL (Inter Library Loans) 15, Meeting room usage 74, Computer Usage 12,064, TSLAC Service Population 80,183, Winter Reading Club Enrollment 170. General Operation for December: - Volunteer Fair- hosted by the City of Schertz is scheduled for Thursday, April 10th at 5:30 at the Civic Center. The Library will have a table. If you would like to attend all are welcome. - Carmelita Wages retired from the Library. She began on Oct. 1, 2001 and retired on Feb. 28, 2014. The Library staff had an appreciation luncheon in her honor. - No more recycling payments. Paper Retriever Recycling is no longer able to pay for the recycling. 4. Bookstore Report: Committee reported on the following items: General Operation: - February Book Sale earned 492.00. It was a huge success. - The July Book Sale is set for July 25th — July 26th with the set -up on July 24th - Discussion on the Volunteer Appreciation Luncheon. The date of April 26th on the patio of La Cabana was suggested. A white elephant exchange was suggested as well. Melissa Uhlhorn will contact La Cabana to check availability and a possible menu. $300.00 funding is available, with additional funds able to be accessed. Final vote was tabled until April meeting. - The large record donation was opened and is being sold in the Book Store for .10. - Discussion on the Staff Appreciation week for the Library staff. The dates discussed were April 22 -24th. The menu of soup and desserts were suggested. Final vote was tabled until April meeting. DISCCUSSION & POSSIBLE ACTION 5. February 10th Semi- Annual Meeting of City Board, Commission & Committee Chairpersons- Recap of information exchanged at the Chair meeting. Sonia Samora gave the recap for the February 10th meeting. Each Schertz city board, commission and committee gave a brief summary of their departments. The City Council will receive a copy of each presentation. Sonia will provide the LAB with a copy of her outline. The next meeting is proposed for 6 months. 6. Projects Honoring Hal Baldwin and Gail Douglas- Discussion and possible action on choosing an appropriate project in memory of Hal Baldwin and in honor and appreciation of Gail Douglas' service to the library. Margaret Riley and Melissa Uhlhorn presented the research on possible projects. The discussion was tabled until the April meeting. 7. Purchase of library Materials- Discussion and possible action regarding the purchase of the non-fiction materials for the adult and juvenile collections. Melissa Uhlhorn asked for the LAB to fund the replacement of non - fiction materials. She requested 6700.00: 2 /3rd for the adult section and 1/3 rd for the children section. Mary McAllister moved to fund the purchase of non - fiction materials. Patti Dilworth seconds the motion. The motion carried. The LAB will fund the non - fiction materials with 6700.00. . Digitization of Valley News- Discussion and possible action regarding payment for the digitization of The Valley News, 1964 -1968. Melissa Uhlhorn requested the $1300.00 needed for the remaining digitization of The Valley News. Ruth Tienor moved to provide $1300.00 to the digitization of The Valley News. Carol Cyr seconds the motion. The motion carried. The LAB will pay 1300.00 for the digitization of The Valley News. ANNOUNCEMENTS: 9.
