A motion to approve the ininutes was made by Gail Hyatt and seconded by Tom DeKunder. The motiol carried unanimously. M Treasurer's Report: Consideration and/or action regarding the book sales activity and other fiscal matters. Treasurer Lou Foehrkolb reported that $269.58 has been deposited since the fiscal year began on October 1, 2011. Sinc& initial publication, 548 books have been sold. 5. Schertz Historic Preservation and Landmark Designation Program — consideration and/or action regarding the Schertz historic preservation and landmark designation program. Chairman Weirtz outlined two factors that caus) �44 of Comal Settlement historic landmark properties. Program/agenda order and content was developed by Dean Weirtz and published to all planners. There were a couple of changes to the program order as the planning progressed. Copies of the program were supplied to each sponsoring organization. c. Clarence Scheel developed a parking is that would accommodate the number of vehicles expected. Part of the parking plan provided for staff to park their vehicles at the designated satellite parking spot (St. Joseph's Chapel) and be shuttled to the dedication site. Peter and Paul Catholic Church, Comal Settlement Assoc., Comal County Historical Commission, Schertz Historical Preservation Committee) informed as to the status ♦ the event planning was critical to the event's success and to the eventual successful turnout for the event. Invitations were sent by sponsoring groups to their respective memberships and individually to dignitaries. element of the event Was apparently caused by a breakdown in communications somewhere within the chain of command at the City. Somehow the e-mail request for 75 chairs ended up as a message to the delivery staff as 55 chairs required. The lesson in this instance is to reaffirm (by the planner) with each level of command as to the L On the morning of the event each of the assigned staff were briefed on the details of how each of their respective project areas would operate. There was a rush to make contact with each group and some had to wait for instructions while others were being briefed. Overall, this did not delay the event but a pre-briefing • all concerned the day before would have been helpful. a. Most • what was needed for the event in terms • plaques/markers, refreshments, decorations and book sales materials was furnished and delivered by Dean Weirtz. c. The parking of sponsoring member vehicles in a satellite location was critical to having enough space at the cemetery site for guest vehicles. Each aspect of the event had a particular number of persons assigned to handle the tasking: Planning 6, Parking: 3, Shuttle Drivers 2, Book Sales 2, Guest Greeters 2, Refreshments 3, Speakers 4, Set Up and Take Down 3. All 46 books had been sold within thirty minutes following the beginning of guest arrivals. Another 15 orders for books was taken by the time the ...t ended.
