Melissa Uhlhorn, Library Director. HEARING OF RESIDENTS: None CALL TO ORDER: Patti Paulson called the meeting to order at 6:30 p.m. REGULAR AGENDA: 1. Minutes: Consideration and /or action regarding the approval of the minutes of the October 1, 2018 meeting. Ruth Tienor moved to accept the October 2018 Minutes with no corrections. Laura Wilson seconded the motion. Motion carried. The October 1, 2018 Minutes were approved. 2. Treasurer's Reports: Consideration and /or action regarding the approval of the September 2018 Treasurer's Reports. The September 2018 Treasurer's Report reflected income of $1,815.67 and expenses of $3,458.57 leaving a balance of $23,990.00 in the cash account. Joanne Ward moved to accept the September 2018 Treasurer's Reports as presented. Robert Lopez seconded the motion. The motion carried. The September 2018 Treasurer's Reports were approved. 3. Librarian Report: Melissa Uhlhorn reported on the following items: September 2018 Stats: TSLAC Service Total Circulation Head Count Volunteer # of Population Hours Volunteers 102,379 40,558 26,741 392 38 Total Total Total Youth Program Adult Program Program Collection Collection Attendance /program Attendance /program Attendance (Titles) (Items) 1,428/32 112/20 1540/52 107,475 90,717 Renewed Meeting Food Number of Patrons New Cards Cards Room Truck Usage Vendors 30,806 442 112 87 31 Total Computer Web page Session Web page Web page Wi -Fi Usage views users Sessions 3,377 5,410 11,336 2,952 34,210 LibraryOperations: - Automatic renewals are now offered and the library may see a decrease in fines for late materials and an increase in circulation. - Food trucks are not required to pay to park their vehicle in the parking lot; however, staff members have seen the ice cream vendor make contributions to the library donation bank. - Melissa reviewed the demographic areas/ communities that the library services. - Library staff, Schertz Police and school crossing guards continue to monitor behavior issues at the Schertz playscape behind the library. Additional action may be required. Incident reports are made by library staff. - Employee Engagement Survey has been completed and the library is within the Top 4 departments. Areas of improvement were discussed. Library Operations continued: - Staff members who were previously on maternity leave have returned to duty. There is one 10 -hour position available. - The "Materials Budget Spending Plan FY 2019" worksheet was shared and reviewed in detail with the Board. A highlight was a one -time expanded program contribution from the City of $20,000. - The purchasing process and procedures, as well as weeding process was explained. - Melissa asked the Board if anyone had a specific request for how the annual Board contribution should be spent. There were no specific requests. - Consideration is being made regarding joining the Cloud Library Consortium (including Dallas, Seguin and Boerne libraries) that would bring an additional 70K+ digital titles (all age groups). The annual $10K cost is a concern. - New Board members Ken Bauer and Christine Bryan introduced themselves to the group. 4. Bookstore Report: Joanne Ward reported on the following items: General Operations: - The October 2018 Bookstore Book Sale made over $1,300. Arms of Hope charitable organization picked up remaining unsold books. - Bookstore gift certificates are being offered, but none have been sold yet. - Bookstore holiday closures: November 21- 24, December 22 - January 6. - Christmas books and items will be on display beginning November 26. - Spring Bookstore Book Sale is tentatively scheduled for March 1 -2, 2019. 5. Committees of Committees Advisory Board(CCAB) Update - No updates available. DISCUSSION & POSSIBLE ACTION: 6. Bookstore Merchandise: - A Better World Books account will be established for selling books. No shipping or supply charges apply; however, the return is only 10 %. Once the contract is reviewed and approved by the legal department, the bookstore will sell books via Better World Books and monitor activity for six months. Joanne Ward moved to utilize Better World Books as a supplement to selling books through the bookstore. Patti Paulson seconded the motion. The motion carried. 7. December Meeting: - Board members discussed having a holiday celebration in place of the December LAB meeting. In- library potluck and restaurant options were discussed. Melissa stated that Patti Dilworth offered to research restaurant options, if desired. Ruth Tienor moved to have a holiday celebration at a restaurant. Dawn Figueras seconded the motion. The motion carried. ANNOUNCEMENTS: 8. Items by the Library Board Members: Briefing on the following items: - Correspondence received: None received. - Other announcements /items: Letticia Sever shared that several children authors of essays in a Historical Preservation Committee Essay Contest wrote about our Schertz Public Library (including Board member, Ruth Tienor). - Items to be included in next agenda: Finalize Bookstore Book Sale date and April Toman will be sharing a presentation for upcoming youth programs. ADJOURNMENT: Ruth Tienor moved to adjourn the meeting. Laura Wilson seconded the motion. The motion carried. The meeting was adjourned at 8:05 p.m. Next month's meeting (holiday celebration) will be December 3, 2018.
