A RESOLUTION
PROVIDING POLICY GUIDELINES FOR CONTROL
AND MANAGEMENT OF VEHICLE USAGE, MAIN-
TENANCE AND REPLACEMENT
WHEREAS, there is a sufficient number of City owned
vehicles, and
WHEREAS, there is a need to systematize the control and
management of these vehicles, and
WHEREAS, it is in the best interests of the citizens,
NOW THEREFORE,
BE IT RESOLVED BY THE CITY COUNCI L 01-' THE CITY OF SCHERTZ, TEXAS:
That the attached document shall be the management tool
for control of city-owned vehicles for the purpose of vehicle usage,
maintenance and replacement discussions.

Line A - will be a straight line depreciation over the expected, life of
a vehicle in the use category.
Vehicles are categorized as follows:
1. Police Cars, Fire Chief Trucks.
2. Ambulances
3. Utility Departments and Street/Parks Departments
4. Staff Cars and Department Head Vehicles
NOTE: The Police Chief's car is considered in category 1.
Line B - will be maintenance costs which shall include all parts and
labor for the following:
1, Repairs
2. Tune-ups
3. Oil Changes
4. Tire Replacement

RECORD KEEPING
A. A folder shall be kept at City Hall for each vehicle. Such
a folder will contain all pertinent data relating to the vehicle. The
following material must be included:
1. Graph on Cost/Maintenance
2. Control Sheet
3. Purchase Orders for Maintenance
4. All Other pertinent information
B. Due to the variety of vehicle usage, each department head shall
be responsible for collecting the data ,needed for the control sheet.
Department Heads may use whatever forms they design or choose to gather
this information.

C. All vehicles approaching 50,000 miles should have the folder
tagged with a warning signal and such vehicle should be assessed care-
fully.
3.
CONTROL OF VEHICLE USAGE
Employees in the Utilities Department and the Street/Parks Depart-
ment on stand-by duty 61" sl:Jbject te 6i1H will be authorized to take
City vehicles to their residence. Other departmental vehicles will
remain at the department yard after hours.
All vehicle users shall maintain a daily record of vehicle usage
which shall consist of the following data:
A. Vehicle mileage at start of day.
B. Vehicle maileage at end of day.
C. All out of Schertz trips should be logged with beginning
and ending mileage. Utility vehicles going to well sites
will not be considered "out of town".
4. PREVENTIVE MAINTENANCE, MAINTENANCE AND REPAIRS
The City Manager shall utilize a single local source for repair
and maintenance of City vehicles and equipment as far as their capa-
bilities will allow.
