LIBRARY ADVISORY BOARD MINUTES
The Library Advisory Board met in regular session on Monday, May 2, 1988, at
7:30 p.m.
Members present:
Earl Hartzog, Chairman Ruth Tienor

Connie Brison, Secretary Ex-Officio - Gail Douglas, Libr.
Julie Parr, Treasurer Aggie Aguilar,
Marge Smith City Council Rep.
Visitors present: Schertz City Councilman Chuck Sharpe, Dickie Day George and
Vinnie Martinez of the Randolph Metrocom Optimist Club, and newspaper photographers
Don Drake and Teresa ? Ms. George and Ms. Martinez presented a $25~00 check to
Gail and Earl. Ms. George expressed appreciation for the Library and its staff.
She also recalled their organization's first oratorical contest held at the Library
on March 16. Afterwards Earl presented to Connie a plaque of appreciation for her
work as publicity chairman for fundraisers.
Connie presented the minutes. Ruth moved to approve the minutes; Julie seconded.
Julie presented the treasurer's report. Connie moved that this report be accepted.
Ruth seconded. Motion passed. Ruth moved that all proceeds from the 1988 dance/
auction and the book sale be used for the purchase of circulating materials. Julie
seconded. Motion passed. Having a sign-in log at futur~ book sales was suggested.
We could then keep ourout-of-town customers updated with notices, etc.

The Collection stands at: Adult, 9872; YA, 974; Juvenile, 3714; Filmstrips, 132.
The YA nonfiction project is completed.
An April survey taken from patrons revealed a desire for more magazines and more
fiction. Also for extended hours, especially opening on Mondays and 9-9 as
regular operating hours.
Gail has room in the addition for periodicals, especially the collection of
National Geographics, which now can be extended through donations, etc.
The Planning and Zoning Committee has asked for a ten-year plan for the Library.
Bill Gooch, State Librarian, will be here June 13 at 9:00 a.m. to advise on,
how to arrange space in the new addition.
Gail hopes to have an appreciation luncheon for the volunteers at Pat's Place
in late June. There are 25 volunteers. Ruth moved that Gail use petty cash
for expenses, priceT~asonability being at Gail's discretion. Julie seconded.
Motion passed.
The TLA convention provided good workshops and good vendors. Gail investigated
the Checkpoint security system, which is like the one at Seguin Library.Price
is $5000.00 and includes wooden pass-throughs and sensor tapes for 18-2Q,000
volumes. '

The automation consultant advised Gail to wait until January to request a
computer from downtown. She shOuld experiment with her final program first
and then ask for the computer.
Gail did the genealogy project for her college work; it is available to
LAB members for perusal.
We should te-examine the meeting room policy at year's end in order to
avoid conflicts and allow more time for library-sponsored workshops.
Gail received a letter from the County stating that the request for funds
must be in by May 16. Discussion of the $1.50 per capita of incorporated
vs. unincorporated ensued. Earl suggested that there be a meeting among
Jim Brannon, Judge Sagebiel, Tony, Gail, and other interested parties to
sort out the best situation. Another suggestion was that Mr. Brannon come
toa LAB meeting following the May 16 request. Possible amendments could
be made with his advice. .
Gail bought a fan for the workroom at the Rotary Auction. Price was $45.00.
She is still making plans for the national convention in New Orleans.
The yard is much improved due to the weeding done by Mr. Gonzalez.

FINANCE COMMITTEE
Earl strongly suggested that a letter be sent to Cibolo for money in support
of the Library.
PUBLIC RELATIONS
Connie placed a press release in the Herald-LIFE which summarized our April mtg.
POLICY
Margaret reported via Julie that the genealogy rules do not have to be part of
the Library policy. Gail and Earl should sign' the operating procedure statement, and
it should be kept in herdirector~sfile. More at next meeting.
OLD BUSINESS
Tony moved that a $10.00 gratuity be given to Mike DeLeon and also to Mr. Gon-
zalez for cleaning up after the book sale on Sunday. The money should be taken
from the $200.00 available to the executive board's discretion. Connie seconded.
Motion passed. Connie will write a complimentary letter about each gentlemen to
Mr. Gilmore. Carbon copies will go to Mike and Mr. G.
A total of $20.00 was collected from Marge and Earl for the tickets sold for the
Rotary Round-Up.
The June 11th anniversary open house and the July 4th float will be discussed at
the next meeting of LAB.

The genealogy lessons and accompanying confusion ~ briefly discussed. Set fees
might be preferable if future lessons are planned.
Gail will talk to a realtor named Kale about filling the vacant LAB position.
Chuck Sharpe suggested that we investigate a geo-thermal pump for the addition. GVEC
and CCMA have this device, which claims to reduce electricity use drastically. The
reservoir is underground and is heated and cooled by the surrounding earth all year.
Chuck also said a man from McQueeney redid the sign for the City at Cibolo Creek
for $350.00. He has the man's name. Also, he suggested that we have a sign placed
on the back side of the Library for increased visibility and recognition.

NEW BUSINESS
Connie suggested that a "Volunteer Spotlight" be a part of Gail's newspaper column
or in publicity somehow. It would be an "Up Close and Personal" kind of interview
that would focus on the individual's interests, espcially those concerning our
library. The board approved.
A workday this summer, perhaps in July, will be needed to read the shelves and do
inventory.
Tony will be chairman of a Five-Year Plan committee. Gail, Connie, and Marge
will also be members. Mr. Gilmore might be helpful in planning.
